Position Overview

The Assistant Manager is a critical member of Smart’s management team.  The position’s primary responsibility is to provide timely and accurate reporting to clients and managers in order to facilitate campaign productivity, and to provide sales data for legally mandated campaign reports.  This position also assists in the smooth day-to-day operation of Smart’s office, serves as a conduit between clients and personnel, and assists/trains callers as needed.

Essential Duties

  • Be fully knowledgeable of all aspects of each campaign, including package offerings, special value-added promotions, handling fee and store credit rules, and each campaign’s unique sales approach.
  • Maintain accurate reports for all campaigns and submit to clients in a timely manner; submit orders to clients via secure transmission.
  • Facilitate order and payment corrections as needed.
  • Ensure the security of all digital and hard-copy files; on a monthly basis, do a well-being check on all computers and printers to ensure all programs, including virus protection, are updated.
  • In conjunction with the Principal, create year-end archival records, prepare paper documents for secure shredding; compile master files of all Take Off List requests; and assist the Principal with tabulation of campaign data from the CRM.
  • General Management Responsibilities:  Open the office Monday through Friday, and close the office on Fridays; answer inbound phone calls and take messages for callers; assist patrons with questions that do not require caller interaction; assist callers as needed if they have questions regarding computer use, CRM questions, or general campaign questions; attend client meetings; develop calling scripts as needed; in conjunction with the Principal and Manager, maintain the ongoing tidiness of the office; create and distribute complete and accurate onboarding packets for new hires and maintain accurate personnel files for all current employees.

Job Qualifications

  • Be able to work productively with a highly diverse staff;
  • Provide friendly customer service to both clients and patrons;
  • Box Office or subscription sales experience recommended;
  • Facility with Microsoft Excel required;
  • Strong oral and written communication skills;
  • Bachelor’s degree in Theatre, Music, Marketing, Communications, or related field

Job Environment

All work takes place at Smart’s offices at 219 W Chicago Avenue in River North.  Position hours are Monday through Thursday 11 am – 7:30 pm and Friday 11 am – 5 pm.

This is currently a hybrid position.  The Management Associate will work 40 hours per week, spending 50% of their time fulfilling Management Associate duties, and 50% of their time as a caller.

Salary is an hourly wage plus commission on ticket and donation income generated by all campaigns. Estimated salary range for this position is $44,000 – $48,000 per year.
