A Red Orchid Theatre seeks a highly organized, collaborative Production Manager to oversee all aspects of production operations across our season, Incubator programming, and organizational events. This role serves as the primary liaison between creative teams and the organization, ensuring productions and events are delivered on time, on budget, and in compliance with union and organizational standards.

Production Management Responsibilities 

  • Serve as the primary liaison between Stage Managers, Directors, Designers, and A Red Orchid Theatre (producer).
  • Work closely with the Artistic Director and Artistic Producer to ensure the successful maintenance and execution of all ongoing productions.
  • Develop and manage production schedules, ensuring adherence to key deadlines across all phases of production.
  • Oversee production budgets, track expenses, and monitor variances.
  • Schedule, attend, and facilitate production meetings, design meetings, rehearsals, technical rehearsals, and strikes.
  • Ensure compliance with Actors’ Equity Association (AEA) agreements, including preparation and submission of required reports and documentation.
  • Maintain clear and up-to-date production documentation, including calendars, contact sheets, and technical information.
  • Manage purchasing for productions, including oversight of the organization’s Amazon account and other procurement needs.
  • Coordinate facility access and prepare theatre spaces for rehearsals, performances, and special events.

Administrative Duties 

  • Distribute contracts and onboarding materials for creative teams and overhire staff.
  • Maintain compliance to union standards and submit weekly reports for AEA members.
  • Analyze production budgets and provide variance reporting for individual productions and the overall season.
  • Collaborate closely with Artistic staff to hire, onboard, and supervise production crew and overhire personnel as needed.
  • Coordinate the check-in and return of rented or borrowed materials, ensuring timely and complete returns.
  • Maintain organized records of production-related documents and systems.

Incubator, Rentals & Facilities Management 

  • Ensure theatre spaces are fully prepared and operational for rehearsals, performances, Incubator programming, and external rentals.
  • Manage and oversee all rentals and outside use of A Red Orchid Theatre spaces (theatre and offices), in collaboration with the Managing Director.
  • Coordinate rental inquiries, contracts, scheduling, and logistical needs.
  • Maintain and oversee theatre systems (lighting, sound, projections, etc.), ensuring accessibility and functionality for internal and external users.
  • Manage and organize inventories of props, costumes, lighting, and sound equipment as shared resources.
  • Provide Incubator artists, renters, and partners with technical specifications and logistical support.
  • Offer limited technical assistance, including basic lighting or sound support, for readings, workshops, rentals, and events.
  • Ensure timely return and proper handling of all rented or borrowed equipment and materials.

Events & Fundraising Support 

  • Provide production and technical support for fundraising events and other organizational activities.
  • Coordinate production elements for events, including equipment rentals, sound, lighting, and projections.
  • Collaborate with staff to ensure events are well-executed and aligned with organizational goals.

Qualifications  

  • Experience in production management, stage management, or technical theatre.
  • Strong organizational, budgeting, and communication skills.
  • Familiarity with AEA rules and reporting requirements preferred, but not required.
  • Ability to manage multiple projects and deadlines in a fast-paced environment.
  • Experience working in collaborative, ensemble-driven environments a plus.
  • Basic knowledge of theatrical sound and lighting systems is a plus but not required.
