Membership & Marketing Coordinator (Seasonal, Part-Time)

Compensation: $17.05/hour (City of Chicago minimum wage), paid twice monthly on the 15th and last day of the month
Part Time: 5 hours per workday (15 hours/week, Tuesdays, Wednesday afternoons and Thursdays)
Time Frame: July 14th, 2026 – March 30th, 2027 (Seasonal)
Work Model: Hybrid — in office, remote, and on‑site at events during work hours (9am-5pm).
Reports To: Director of Programming, Membership & Events Manager, with additional collaboration across Marketing and Administrative Teams

About the Organization:
League of Chicago Theatres (LOCT) is a nonprofit organization whose mission is to support, promote and advocate for Chicago’s theatre industry. Through our work, we ensure that theatre continues to thrive in our city. We represent an alliance of over 200 theatres throughout Chicago providing professional development, fundraising, regranting, artistic programming, advocacy, audience engagement and ticketing services.
Our membership encompasses a diverse list of companies including not-for-profit and commercial operations, suburban and city-based, all-volunteer storefront operations and large regional theatres. This diverse and supportive ecosystem is a strength of our community and encourages us as a service organization to offer a wide variety of programming to meet the varied needs of our member theatres.
About the Opportunity:
The Membership and Marketing Coordinator is a key seasonal team member who supports League by executing campaigns, events, and membership initiatives for the 2027 Fiscal Year.
This role is ideal for someone who enjoys project coordination, arts administration, marketing logistics, and cross departmental collaboration. The coordinator will help keep projects on schedule, maintain communication across teams, track deliverables, and support the execution of LOCT’s major programs and campaigns.
The Membership and Marketing Coordinator will primarily utilize Wrike for project curation and tracking, NEON for Membership Communications, WordPress to manage promote events, Dot Digital for email and campaign support, and OneDrive for file management and cross team collaboration.
Key Responsibilities:
Project Coordination
- Track timelines, deliverables, and milestones for marketing and programming initiatives using Wrike.
- Maintain shared project calendars, task lists, and workflow documentation.
- Support cross- departmental communication to ensure alignment on goals and deadlines.
- Assist with budget tracking and expense documentation for assigned projects.
- Organize and maintain project files and assets in OneDrive.
Programming & Membership Support
- Assist with planning and execution of LOCT programs, workshops, and events.
- Support membership engagement efforts, including outreach, data updates, and resource distribution.
- Help gather and organize feedback from attendees to inform programming decisions.
- Maintain organized membership and programming files in OneDrive.
- Maintain day-to-day operations for League Membership, including:
- Job & Audition Board management
- Onboarding new members including verifying budget levels for dues
- Approving new Business Affiliates
- Approving and maintaining ChicagoPlays.com listings
- Processing Membership requests: accessibility calendar, opening night calendar, gala calendar, etc.
- Drafting and Sending SmarTix Emails via Dot Digital
- Drafting and Sending weekly Broadcast email to membership via Dot Digital
- Maintaining and updating the user roles (logins/passwords) and system software for our websites (WordPress) and CRM system (NEON)
- Sending out mass communications to League membership
- Create/Maintain records of event planning and event attendees via Wrike, NEON, and OneDrive
Marketing Support
- Assist with campaign logistics for LOCT initiatives, including Chicago Theatre Week 2027.
- Coordinate content collection from member theatres (show information, images, deadlines).
- Support scheduling and organization of social media, email, and website updates.
- Build and prepare email campaigns and audience segments in Dot digital.
- Help prepare materials for digital and print marketing campaigns.
Data & Reporting
- Track campaign performance metrics and event attendance.
- Maintain organized records of member submissions, program participation, and communications.
- Compile data for internal reports and post event summaries.
- Support data collection and reporting workflows within Wrike and OneDrive.
Event Support
- Provide on-site support at LOCT events, festivals, and programs.
- Assist with registration, check-in, materials distribution, and audience engagement.
- Capture basic content (photos, short videos) for marketing use when needed.

Qualifications
Candidates should have demonstrated ability of:
- 1–3 years of experience (work, internship, or academic) in arts administration, project coordination, marketing, events, or related fields.
- Strong organizational and time management skills; ability to juggle multiple projects simultaneously.
- Clear written and verbal communication skills.
- Comfort with digital tools such as Microsoft Office, Excel, and project management platforms.
- Experience with or willingness to learn Wrike, Neon One, Dot Digital, and OneDrive.
- Familiarity with social media platforms and basic content workflows.
- Commitment to racial equity, accessibility, and inclusive practices.
- Interest in Chicago theatre and the broader arts ecosystem.
