Ovation Academy for the Arts is seeking an experienced, creative, enthusiastic self-starter to manage the Ovation administrative team & business. Ovation Academy is a performing arts organization presenting top-level arts training to children ages 4-18 in Oak Park, IL. Our classes, musicals, and workshops reach over 400 participants yearly. We have a goal to reach 500 participants in 2020. As of June 2019, Ovation Academy became the resident theater company of Madison Street Theater. Ovation’s offices and all programming takes place solely at MST.

The Managing Director is responsible for overseeing the day to day operations of the organization. The role requires great attention to detail, good communication skills and an ability to juggle multiple tasks often on short deadlines. Knowledge or past experience in budgets/financial tracking/payroll, strategic planning, hiring/training staff members, database management and business development/implementation is extremely helpful.  This role is tasked with increasing organic business, client retention and ensuring a positive work environment/culture. The Managing Director directly reports to the CEO of Ovation.

Full-Time; compensation based on experience


·       Create full season and individual show budgets & provide financial reports when requested

·       Manage, maintain and continue to find new ways to utilize Ovation’s registration system – Jackrabbit

·       Process registration payments, ticket purchases, payment plans, etc… on a daily business

·       Hire, onboard and train new contracted instructors, directors and administrative staff

·       Manage all administrative staff – setting up daily, weekly, monthly goals and making sure they are followed through

·       With the CEO, strategically plan each session – from classes, camps, workshops, master classes, private lessons, etc…

·       Correspond with community partners and maintain active relationships

·       Communicate with parents of students with information pertaining to the logistics of classes or shows

·       Apply for rights of all productions in Ovation’s season

·       Pay all bills/invoices in a timely manner

·       Update and maintain Quickbooks – in collaboration with CPA

·       Process payroll biweekly

·       Communicate with Board of Directors and Booking Coordinator of Madison Street Theater any and all Ovation updates/needs

·       Maintain an Ovation calendar about space usage at MST

·       Manage the private lesson sector of Ovation – receive weekly lesson schedule from teachers, manage calendar, track lessons, communicate with parents.

·       In collaboration with the Marketing Coordinator, oversee the marketing of shows, classes, workshops, etc…

·       Assist in the front of house duties alongside Production Manager for all Ovation productions – recruiting volunteers, executing front of house procedures, ordering of concession items, printing programs

·       Ordering necessary office supplies on a monthly basis

·       Answering phones, listening to voicemails and returning phone calls

Skills & Qualifications:

·       Preferred degree in theatre or communications or a minimum of three years’ experience in theatre management

·       Experience managing a staff, volunteers and small business

·       Ability to work independently, and meet daily, weekly, monthly and annual deadlines

·       Excellent writing skills

·       Strong communication and interpersonal skills; public speaking experience a plus

·       Project management experience with strong time management skills

·       Skills related to financial tracking and creating budgets

·       Familiarity with Jackrabbit or other registration system a plus

·       Proficiency in Microsoft Office, Quickbooks, Paycor, Canva, Google, Constant Contact and WordPress
