The Gift Operations Coordinator plays an essential role in managing the accurate entry of donations and pledges, keeping donor data organized and up to date. This position will lead the creation and distribution of acknowledgment letters, fulfill donor benefits, and manage other important stewardship communications. This role also focuses on improving the efficiency of pledge fulfillment and conducting prospect research to help identify new fundraising opportunities. The Gift Operations Coordinator directly reports to the Annual Fund and Operations Manager.
Responsibilities:
- Gift Processing and Data Management: Accurately enter and track all gifts and pledges in Tessitura, ensuring compliance with organizational standards. Prepare and send acknowledgment letters to donors in a timely manner. Maintain accurate and up-to-date donor records in Tessitura, including gift details, contact information, and communication preferences. Process online and monthly gift payments.
- Donor Stewardship and Benefit Fulfillment: Contribute to the stewardship of our donors through meaningful touchpoints highlighting impact throughout the year. Oversee the fulfillment of benefits for donors in the Annual Fund, ensuring that all promised benefits are delivered. In partnership with the Annual Fund and Operations Manager maintain all digital and physical donor listing content.
- Gift Officer Support: Assist with researching prospective donors, reporting and tracking solicitation progress, and other stewardship as required.
- Pledge Management: Centralize and lead the department in developing more efficient pledge management processes, including tracking outstanding pledges and ensuring timely payment.
Qualifications:

- Attention to detail and accuracy
- Strong written communication skills
- Time management and organizational skills
- Basic understanding of fundraising principles
- Able to work independently and with a team
- Proficiency with MS Office Program (Word, Excel, PowerPoint)
- Discretion handling confidential information
- Evenings and weekends required as needed.
Preferred
- Tessitura or other CRM software
- Experience with gift processing in a non-profit setting
- Experience with donor communications (direct mail/email)
- Data analysis and reporting
- Project management experience
- Bachelor’s Degree or equivalent work experience
Compensation: Salary range for this position is $45,168 – $49,684 with excellent benefit package for full time employees, including medical, dental, vision, life, and short and long-term disability insurance, critical illness, hospital indemnity, Ventra transit benefit program, employee assistance program and 401(k) matching retirement program. In addition, we offer a generous paid time off package that includes vacation pay, personal days, sick pay, 12 paid holidays and two cultural observance days of your choosing.
