Overview

The Marketing Associate is a full-time position, reporting to the Director of Marketing & Communications.  This is a year-round position that is critical to the operation of The Academy’s communication plan to a community of faculty, staff, board of trustees, the student body, families, alumni, donors, supporters and the general public.  The job responsibilities include, but are not limited to:

 

Collateral Management:

●        Under the direction of the Director of Marketing & Communication, the Marketing Associate will plan, design, schedule and execute the printing needs of Academy collateral, including but not limited to:

o   Marketing Materials-department info pieces, admissions information pieces, course catalogs, promotional booklets,

o   Building Signage and operations materials-laminated notifications, staff directories, college night packets, building maps, guest lanyards,

o   Collateral Inventory-working with the Office Manager, Marketing Associate will track the inventory of all collateral materials, folders, stationary, envelopes, etc., and reorder through The Academy’s preferred printers

o   Yearbook-The Marketing Associate will design, coordinate and publish an annual yearbook and track the ordering and distribution of the yearbooks to students and alumni

o   Special Events Signage, The Marketing Associate will serve as the primary staff person to provide signage, auction sheets, and other interactive material support for the annual gala, the AIDS Benefit, All School Showcase, Graduation, Prom and other special events throughout the school year.

o   Materials for other administrative departments in the building, including college counseling, reception, registrar, etc.

o   Serve as Academy liaison for all external printing needs

 

Community Communications:

●        Under the direction of the Director of Marketing & Communications, the Marketing Associate strategizes, plans and executes a comprehensive community communication plan including but not limited to:

o   Semester & quarterly newsletters

o   Daily morning announcements

o   Weekly notes to families

o   Other community communications under the direction of the Director of Marketing & Communications

●        Under the direction of the Director of Marketing & Communications, maintain and update Academy social media presence, including Facebook, Snapchat, Instagram and other platforms

●        Under the direction of the Director of Marketing & Communications, update the Academy web-site’s content at regular intervals

 

Audience Services:

●        Serves as the primary staff person for all front of house needs for Academy public and ticketed events, including but not limited to:  Theatre and Musical Theatre performances, Visual Arts gallery shows, department exhibits and public events, dance concerts, All School Showcase, Prom, Graduation, and other off-site events

○   Provides box office support for all ticket sales

○   Tracks sales, processes credit card payments as needed and reports daily sales reports to the Director of Finance & Operations and Director of Marketing & Communications

○   Coordinates  the sales of concessions for public events as needed

○   Coordinates, trains and staffs box office and volunteers for all ticketed/public events

○   Serves as liaison for the box office and front of house needs for all off-site events

○   Provides resources for concessions and merchandise sales for ticketed events

●        Produces all print material related to public and ticketed events, including

○   Program Books

○   Posters

○   On-site signage

○   Concession and merchandise sales signage

○   Exhibition information

○   Sign-in Sheets and ticketing reports for box-office staff

●        Working with other key staff, provide information on venues, tech needs, communication plans and other pertinent information to production teams.

●        Provide on-site support for other events and student programs as needed

 

Merchandise Management

●        Under the direction of the Director of Marketing & Communications, execute a comprehensive merchandise sales plan for Academy apparel

●        Maintain a detailed inventory of all merchandise throughout the year and keep detailed merchandise reporting system for internal usage

●        Replenish inventory when needed

●        Submit sales reports and write off reports to the Director of Finance & Operations as needed

●        Serve as primary liaison to all merchandise vendors

 

Administrative Support of the Marketing Department

●        Provide administrative assistance to the Director of Marketing & Communications

●        Order office and printing supplies for the department as needed

●        Provide phone support for all department calls

●        Attend weekly building events meetings

●        Meet with other staff as needed to address any marketing requests

QUALIFICATIONS

Bachelor’s degree in marketing, design, or relevant field preferred
2 years’ previous experience as a marketing associate, marketing assistant, or related position
Proficient in Adobe products, including InDesign, Illustrator, Photoshop, Lightroom, and Audition
Significant experience with Facebook, Instagram, Snapchat, Twitter, and relative advertising platforms
Google Analytics and Google Adwords experience
Comfortable with Mailchimp, Constant Contact, or other email service
Experience in events management, including ticketing, front-of-house production, and hospitality
Superior computer skills, including Microsoft Office suite and Google Docs
Up-to-date on latest industry trends; able to articulate trends and potential clearly and confidently
